Encryption changes for key emails

To help protect confidential information, we’re introducing enhanced encryption for certain emails and documents we send to you.

This update is designed to keep sensitive personal and financial information secure, while still being quick and easy for you to access.

What’s changing?

From 10 June, emails and documents labelled 'confidential' or 'restricted' will be automatically encrypted before being sent outside Nottingham Building Society.

Encryption ensures that only intended recipients can view the content, helping to prevent unauthorised access.

How to open an encrypted email

If you receive an encrypted email from us, the process is straightforward.

Step‑by‑step:

  1. Open the email and select Read the message.
  2. Choose Sign in with a one‑time passcode.
  3. A passcode will be sent to your email address within seconds.
  4. Enter the passcode when prompted.
  5. The email will then open normally.

This quick verification step confirms it’s really you before granting access.

How to open an encrypted document

If the encrypted information is sent as an attachment, the steps are just as simple.

Step‑by‑step

  1. Download the attached document from the email.
  2. Open the file. You may see a brief configuration or sign‑in prompt - this is expected.
  3. Enter your email address and select Next.
  4. Choose Sign in with a one‑time passcode.
  5. Retrieve the passcode from your inbox and enter it.
  6. The document will open as normal once verified.

Important reassurance

  • We will never ask you for your password.
  • We will never request payment or bank details to access encrypted information.
  • The one‑time passcode is for verification only and expires quickly.

Why are you introducing encryption?

We’re introducing encryption to better protect sensitive customer and business information. It’s an important step in reducing the risk of unauthorised access and helps us meet modern security and regulatory standards.

Where will the passcode email come from ?

The passcode will arrive from Microsoft Office 365 Message Encryption (MicrosoftOffice365@messaging.microsoft.com).

We use Microsoft's secure messaging service to protect your information, so the email won't come from a Nottingham Building Society address.

If you can't see it in your inbox within a few minutes, please check your spam or junk folder.

Which emails and documents will be encrypted?

Only emails and documents labelled 'confidential' or 'restricted' will be encrypted. Most everyday emails will remain unchanged.

Will this affect emails that I forward?

No. Forwarding an email does not automatically encrypt it and behaviour remains the same as it does today.

Will I need to create an account or install software?

No. You do not need to create an account, download any software, or install applications.

You’ll simply verify your identity using a one‑time passcode sent to your email address.

How often will I need to enter a one‑time passcode?

You’ll normally need a passcode each time you open an encrypted email or document for the first time, or if your session expires. This helps ensure only authorised recipients can access the information.

What if I don’t receive the passcode?

Passcodes are usually delivered within seconds. If you don’t see it:

  • Check your junk or spam folder.
  • Make sure you’re checking the same email address the message was sent to.

Can I still reply to an encrypted email?

Yes. You can reply as normal. Your reply will automatically remain protected within the secure email thread.

Can I share or save encrypted documents?

If a document is encrypted, access is limited to authorised recipients only.
If you need to share information further, please contact your usual Nottingham Building Society contact to discuss the best and most secure option.

How can I tell an encrypted email is genuine?

Encrypted emails from Nottingham Building Society will:

  • Ask you to access the message via a Read the message link.
  • Use a one‑time passcode sent to your email.
  • Never ask for your password, payment details, or bank information.

If something doesn’t look right, do not proceed - contact us instead.
